Documents required to conduct valuation

The list below is just preliminary and can be reduced or extended depending on the type of a valuation unit and after the Appraiser is acquainted with the purpose of appraisal and request to conduct appraisal. During the appraisal process the Appraiser may request additional information regarding a valuation unit. All documents should be provided in photocopies (notary certification is not obligatory). Information from legal entities shall be provided in the form of information letters, which must be signed by an authorized person and stamped.

The list of documents required to conduct appraisal of residential premises:

§ Documents, which evidence the title of a person to real estate (Certificate of ownership, sales and purchase agreement, deed of gift, deed of barter or other);

§ Technical passport issued by Bureau of Technical Inventory (BTI);

§ Report to verify initial and residual balance sheet values of a valuation unit (for the Customer – a legal entity);

§ Information on repair works performance, maintenance costs (including community charges);

§ Passport data and identification number of the Customer – an individual or bank details of the Customer – a legal entity.

The list of documents required to conduct appraisal of land plots:

§ Documents, which validate the ownership of a person to the use, possession or disposal of a land plot;

§ Data on territory borders of a land plot (cadastral plan, area of a land plot, a scheme of borders of a land plot or a map with indication and description of the location);

§ Category of a land plot in accordance with the designated purpose;

§ Calculation of annual land use tax (if a land plot is leased – calculation of rental payment);

§ Information on any burdens, such as a pledge or debt liabilities, any lessees, legal warnings, agreements, contracts, deeds, special tax burdens and other limitations of the use (if applicable).

§ Passport data and identification number of the Customer – an individual or bank details of the Customer – a legal entity.

The list of documents required to conduct appraisal of nonresidential premises, buildings, and facilities:

§ Documents, which evidence the title of a person to real estate (Certificate of ownership, sales and purchase agreement, deed of gift, deed of barter or other);

§ Technical passport issued by Bureau of Technical Inventory (BTI);

§ Documents for a land plot under a building (see paragraph «The list of documents required to conduct appraisal of land plots»)

§ Report to verify initial and residual balance sheet values of a valuation unit (for the Customer – a legal entity);

§ Information on repair works performance, and costs for maintenance and handling of a valuation unit (expenses related to land use, payment of salary to maintenance staff, community charges, depreciation, insurance etc.);

§ Passport data and identification number of the Customer – an individual or bank details of the Customer – a legal entity.

The list of documents required to conduct appraisal of the integral property complexes (businesses), securities:

§ Organizational and legal documents of a Company (Charter, Certificate of registration, Certificate of registration with a tax authority, Certificate of registration with the Unified State Register of Companies and Organizations of Ukraine, Decree “On accounting policy of a company”);

§ Characteristics of the main and other types of activity;

§ inventory register of capital assets, other non-current assets, inventories and other property (assets);

§ Business accounting statements for the last 3-5 years, which are before the date of valuation (Forms No.1 «Balance», No.2 «Financial Results Statement», No.3 «Cash Flow Statement», No.4 «Owners Equity Statement», No.5 « Notes to the Annual Financial Statements», No.6 «Annex to Notes to the Annual Financial Statements «Segments Information»);

§ clarification of data by balance sheet items;

§ The most recent audit report (if audit was conducted);

§ Report on results of stock floatation;

§ Certificate of registration of stock issue;

§ Documents, which verify the ownership of a person to real estate (certificate of ownership, sales and purchase agreement, deed of gift, deed of barter or other);

§ State registration certificate of ownership to real estate;

§ Technical passports issued by Bureau of Technical Inventory (BTI) for real estates;

§ Technical passports for equipment with the report on mechanical condition of equipment. Technical passports for vehicles with documents of technical inspection or protocol of technical state;

§ Report to verify the absence of burdening for the property of a Company;

§ Report to verify complete initial and residual balance sheet values of real estate, machinery and equipment, year of record in the balance sheet or the date of putting into operation;

§ Report to verify mechanical condition of utility systems with indication of connection points and main technical characteristics (diameter, length, cable grade, condition). Plan of systems;

§ Information on subsidiaries, branches and subdivisions;

§ Sales:

- sales on advance payment, %

- sales on credit, %, period of a normal credit

- sales of products without intermediaries, %

- sales of products through intermediaries %, main intermediaries

- inventories, %

§ Folder of orders for the nearest 3 years with clarification for each customer

§ Supplies:

- Main suppliers

- method of settlement with suppliers (credit, advance payment)

§ Structure of expenses for expenses for production as per main and other types of activity;

§ Information regarding staff (total number of employees, number of main production employees, number of auxiliary services, average age, average salary, salary payment delays);

§ Information regarding competitors;

§ Bank details of the Customer, which requests for valuation.

All submitted documents should be signed by director, chief accountant, chiefs of relevant departments.

The list of documents required to conduct appraisal of machinery and equipment:

§ Documents, which evidence and verify the ownership (agreements, protocols, bills and invoices, bills of lading, technical passports, etc.);

§ Full name of the unit: grade, model, serial;

§ Factory (company)-manufacturer;

§ Year of manufacture, year of putting into operation;

§ Technical characteristics of the unit (efficiency, weight, dimensions, operation time, efficiency etc. – as per technical documentation);

§ Inventory number, initial and residual balance sheet values as of the date of valuation (if the owner of a valuation unit is a legal entity);

§ Information on repair works performed (replacement of assembly units, machines, improvements);

§ residual lifecycle (after expiry of the useful life of machinery and equipment, but if they are actually used, the chief engineer of a company should submit a report to verify adoption of the resolution regarding extension of the useful life);

§ Passport data and identification number of the Customer – an individual or bank details of the Customer – a legal entity.

The list of documents required to conduct appraisal of seagoing and inland ships:

§ Documents, which evidence the ownership of a person;

§ Year, shipbuilding site, sequential number of a ship;

§ Watercraft registration documents issued by the Navigation Register of Ukraine, the Russian Marine Register of Shipping or other special registration authority;

§ Initial and residual balance sheet values of a watercraft (if the owner is a legal entity);

§ Passports for ship devices and equipment;

§ Documents to verify a class of a watercraft;

§ Documents to verify classification features of a watercraft (according to its purpose, navigation area, presence and type of an engine, power system, type of motion, material of a hull, its architectural and structural type);

§ engine log indicating an engine’s capacity;

§ Technical inspection report of a watercraft indicating defects and wear-outs;

§ Commissioning certificate of a watercraft indicating its completeness;

§ Watercraft reports on accidental and other damages of main components of a watercraft;

§ Main technical and operational characteristics of a watercraft (length, width, depth, displacement, deadweight capacity, ship endurance, number of decks and watertight compartments, hold (purpose of use, temperature, volume), quantity and dimensions of freight hatches, watercraft stocks (fuel, fresh water, dead weight), main engine (type, grade, capacity), auxiliary and emergency engines (type, grade, capacity), propulsion devices (type, quantity, type of material), main reduction gear (grade), boilers (quantity, efficiency, pressure), abbreviated characteristics of vessel devices and equipment (load and hoist, mooring, steering equipment), life-saving appliances (type, grade, quantity, capacity), industrial equipment (if applicable), energy sources of watercraft systems;

§ Passport data and identification number of the Customer – an individual or bank details of the Customer – a legal entity.

The list of documents required to conduct appraisal of aircrafts:

§ Documents, which evidence the ownership of a person (aircraft operator certificate, state registration certificate, account documents, Certificate for assignment of the ownership or other documents verifying the transfer of the ownership);

§ Documents on resources, date of manufacture and repairs, on works for maintenance of airworthiness, completeness of a unit and its special features (account documents for a unit, file of repair works);

§ Documents regarding schedule and amount of scheduled (routine) maintenance works, schedule of replacement and maintenance of elements (operations documentation);

§ Documents regarding performance of a watercraft airworthiness maintenance works;

§ Documents regarding actual mechanical condition of a unit, its completeness, presence of any equipment being out of operation (report on mechanical condition of an aircraft device);

§ Report on mechanical condition of an aircraft device, which describes: the structure of the commission indicating titles of the participants, date of the report, identification characteristics of a device and its main assembly units, actual location of a device, established resource and operation time of an aircraft and its main assembly units, data regarding compliance with the schedule of technical maintenance and repair, data regarding conducted repairs, completeness of a unit, actual mechanical condition of a unit, recommendations regarding further use, forecast of the useful life and the list of required repair and repair and renewal works;

§ Main technical characteristics of an aircraft (year of manufacture, year of putting into operation, production, serial, register and account numbers, name and type of a unit, manufacture, configuration of passenger cabins, freight-carrying capacity, dimensions of cargo departments, a flight range with a maximum payload and block fuel, cruise speed, landing airdrome class, characteristics of engine installation (type, quantity and power plant output (propulsion power), fuel type, discharge characteristics), characteristics of controlling systems (list of flight instruments, communication facilities, guidance systems), characteristics of equipment (description and characteristics of passenger facilities, description and characteristics of lifting equipment), characteristics of operation systems (fuel consumption, presence ³ quantity of aircrew, specific operation consumption (flight operating costs for passenger / cargo transportation)), information regarding overhauls (date, type of repair works) and information regarding emergency situations;

§ Passport data and identification number of the Customer – an individual or bank details of the Customer – a legal entity.
